league leaders & member  expectations


Membership in any organization has perks but also responsibilities.  Below are our expectations for leagues & members.  Keep in mind that all leagues operate independently and differently.  However, as part of a larger organization, LSAG has outlined what is expected from each league in each of the main leadership positions that LSAG depends upon at the league level:  President, Treasurer, Publicity Chair, Show Chair, Database Manager, & the 2 LSAG Representatives outside of the President.  Please read and be familiar with job expectations from the LSAG side of responsibilities.  This is not an exhaustive list; see your own league for their requirements.  

All Members

--All members should honestly & with integrity represent themselves & their life experience with art in the proper division (level).  They should also represent their art with honesty & integrity by placing them in the proper category based on the materials used.  Please read the prospectus for more details.  It is found on the ENTER page under SHOWS.
--In addition to attending the fall & spring meetings & reading the monthly newsletter, use the website as a primary source of information about LSAG related items.  Most things are found there:    Database help, the Prospectus for all LSAG shows, Connect to LSAG Leadership & Connect to Local Leagues contact pages, how to post to the newsletter, subscribe to the newsletter,  change your email address, & more.  The website is a huge source of information that is always available to members.
--Use the Connect to LSAG Leadership page to direct your question to the appropriate board member.  For example:  sending an email question to the secretary when it is about the database is only going to cause a delay to getting your answer.  

--Read the newsletter.  Click on the headlines or 'read more' for the full post.  What you have in your email box is a list of teasers.  You MUST click on the post OR click  the link taking you to the full article or click 'Go to LSAG's Blog' to go to the blog page where you will see all recent posts (and a log of past posts as well).
--Contribute to the newsletter.   All members may contribute ART related posts; limit of ONE per monthly newsletter.  It is essential that you FIRST read the POSTING POLICIES / How to Post and understand the monthly deadline.  This is found under NEWSLETTER.
--Know the LSAG prospectus.  Whether you participate in a league show or the convention show, or you are volunteering at a show (to hang artwork for example), you are obligated to follow the rules, guidelines, & policies reflected in the LSAG Prospectus.  If your league allows for the bending of the rules at their local shows, you may NOT use the LSAG database for those entries AND those pieces will NOT be eligible for the juried convention show.   Fees paid to convention for an ineligible piece will not be refunded.

–Follow show rules & guidelines for experience level/division selection as well as category for artwork.
--Speak & communicate respectfully to league & LSAG volunteers. 
Use Netiquette or Net Etiquette in your communications.  Be mindful that in emails, multiple exclamation marks !!!!!  and writing in ALL CAPITAL letters can translate as screaming.   Capitals are common for instructional pages and other written directions to include such letters to emphasize a key word, but it should never be used for a majority of your communication. 
--Volunteer for your league or with LSAG.  These are all volunteer run organizations, & everyone needs to contribute to their success at whatever level they are realistically able to do.  
--Be proactive and get your information from the source.  For LSAG related information, get it from LSAG and do not depend on your league.
--Know your membership benefits.  See the MEMBERSHIP pages on this website.

 
League Presidents
—Keep LSAG updated on leadership changes, meeting schedules/ locations, & contact information.  Send in an official update in the summer (the month after convention), fall (October following most leagues' first meetings), or  winter (February) as per your art year calendar & elections as requested.
--Check on communications from us regularly & respond on time.
--Get & review the newsletter & keep up to date on news from the website.  This is the main way we communicate details including hot off the press announcements like those regarding convention.
--Attend the 2 LSAG meetings each year or be sure your league is represented at them.
--Communicate LSAG news to your league or designate someone to do this  (LSAG Reps), & direct members to the LSAG website and newsletter.

--Send your league publicity chair (or the person doing that task) brief 1-2 sentence victories & achievements about members who have had special ART related achievements.  The publicity chair can then combine these news notes with other announcements they are sending in for your league to the newsletter.  As an alternative, you could also encourage the member to do that directly.  See 'How to Post' page under Newsletter for more info.
--Review the remaining outline above & below for all members & league level officers & communicate these to your members & officers / chairs. 
--Follow up with your league leadership to make sure they are doing what needs to be done for LSAG.

--LSAG is a volunteer run organization.  With approximately 8 positions of service & 15 leagues, each league should contribute in service to LSAG by having a league member serve LSAG on average one member every other year.  
--Be sure that someone in your league is maintaining an updated website for your league with details about your meetings, events, shows, etc..  Unfortunately, the LSAG webmaster cannot be the webmaster for 15 different leagues.  LSAG's job is to connect your league with potential members by providing basic information. 
--Be sure you or one of your league leadership designees are communicating with LSAG regarding shows & other information needed by LSAG on time and to the appropriate LSAG person over that area.  Please see the LSAG Leadership page.  When you send information to the wrong person, you delay response time.  
-Communication between LSAG and the league members is key.  When your members are not getting the information from the organization of which they are a member, you will have more questions and more maintenance of issues.​  This is the responsibility of both the President & LSAG Reps.


 
League Treasurers
--Submit dues on time based on your current membership.   Notices are sent by the LSAG Treasurer.
---Submit convention fees on time, by mail, and in advance of the convention to the LSAG treasurer…NOT to anyone else and NOT at convention unless other instructions are given.   
--Be sure that your members do not alter their convention registrations.   Check them when they arrive to you against the official one. Their payment should reflect their receipt &  not any alterations.  Alterations will NOT be honored, & fees will NOT be reimbursed.  It is the responsibility of the league treasurers to communicate this to your members.  Please do not contact us and ask us to adjust registrations for these types of alterations.
–Know the reimbursement policy when you serve as a host league & follow it.  Original receipts are required.


 
Publicity Chairs
--Know the posting policies (on this website), current deadline (Sunday midnight), and follow it; see the 'How to Post' page under Newsletter.
--Advertise shows at least one month in advance in the newsletter (two to three months in advance is encouraged).  If you have a deadline for entry & do not accept walk ins, your advertising date should start one month BEFORE your deadline.  We never re-post your announcements for you.  This is your exclusive responsibility or that of someone you designate. 

--Advertise your monthly meeting, workshops, & other open events.  To contribute as a vital part of our larger organization, you should make a submission at least a few times per year. 
--Put your info in up to 5 posts (combine class listings or other like things or rotate them).  The 6th post is only for LSAG sanctioned judged shows (also known as LSAG Qualifying Shows) that your league holds (1-2 per year).  The deadline is ALWAYS Sunday midnight.  See the schedule on this website for specific dates.
--Communicate to your fellow league members at each meeting and encourage them to get the monthly newsletter and visit the blog (the archived newsletter) for information about events at any time.  Also direct them to the website as a source of LSAG information including the pages to make adjustments to their subscription to the newsletter (ie- changing their email address or unsubscribing).  The newsletter is our main way of communicating.  When your members are not getting the information from the organization of which they are a member, you will have more questions and more maintenance of issues.​  


 
Show Chairs
--Be well educated on the LSAG Prospectus on the ENTER page of this website.
--Follow all LSAG rules for shows.  If you make exceptions, members think WE will make exceptions at the convention.  We won’t, and fees will not be reimbursed.
--Make sure YOUR LEAGUE prospectus does not conflict with the LSAG prospectus for your LSAG sanctioned shows.
--Be sure that if you accept certain types of art that goes against LSAG rules, your artists may NOT use the LSAG database to enter it.  You will need to find a separate way to enter those pieces in your league show.  Awards given to art that breaks LSAG rules will NOT be allowed in the LSAG convention show, and fees will not be refunded.  Yes, it was worth mentioning again.  

--Communicate to judges in advance of your show.  Don’t assume they know everything about all categories or that they know LSAG rules.  Direct them to the LSAG Prospectus on the ENTER page of this website.
--Make sure judges understand that they are to award a MAX of one of each of the following per category / per division represented:  1st place, 2nd place, 3rd place, FIRST Honorable Mention.  Verify that they understand these and any "Best of" awards are the only awards that are eligible for convention.  Regular Honorable Mentions are NEVER eligible.
--Communicate to judges that they should judge all entries regardless of the number of pieces in a given category / division...even if there is only one entry.  Their awards however are completely at their discretion.  There are no minimums on awards. 
--The show chair should submit show date and judge to the LSAG webmaster to be included on the LSAG website Show Schedule in a timely fashion as soon as the show is confirmed and not later than 3 weeks from the show date.  It will be posted within 1 week of receipt.   Please see current webmaster listed on the LSAG Leadership page.  Inclusion on the DATABASE listing has no connection whatsoever to the WEBSITE listing as these 2 areas are completely separate & likewise managed separately.
--Either the show chairs or the database managers must add their LSAG league shows to the database  (minimum of 1; max of 2 per art year within the deadline for shows in regards for convention qualification).   If you have problems accomplishing this task, please contact the current VP of Shows & Database listed on the LSAG Leadership page.  Please note that inclusion on the WEBSITE show schedule listing has no connection whatsoever to the DATABASE listing as these 2 areas are completely separate & likewise managed separately.
--Either the show chairs or the database managers must add new members of their organization to the database & provide logins.  
IMPORTANT:  You may NOT however enter all members new to the database as Adult Students unless they qualify for that division according to the strict guidelines.  If you are unsure of a person's division, enter them as V-ES, Elementary Student.  They will need to adjust this before they can enter a show.  This is more motivating for artists to go in and change this AND does not communicate inappropriately about our Adult Student division.  Please review the VERY SPECIFIC designation of the Adult Student division.  Abuse of this division may result in consequences.
--Either the show chairs or the database managers must confirm the show at the end of their registration.  This locks the show; it CAN be unlocked.  Confirming or locking the show will mean no one else can enter online unless you first unlock it.
--Do not add or represent in the database any award for a piece that is not eligible for entry according to LSAG rules  (ie-pieces that are the result of a collaboration or the work of more than one artist, any & all nudes partial or full / front or back, pieces that reflect violence or gore in either the visual representation or in name, etc.; see the LSAG Prospectus under ENTER).
--It is recommended that the database features be taken advantage of for show planning to make this task much easier. 


 
Database Managers
--Either the show chairs or the database managers must add their LSAG league shows to the database  (minimum of 1; max of 2 per art year within the deadline for shows in lieu of convention).  If you have problems accomplishing this task, please contact the current VP of Shows & Database listed on the LSAG Leadership page.  Please note that inclusion on the WEBSITE show schedule listing has no connection whatsoever to the DATABASE listing as these 2 areas are completely separate & likewise managed separately.​
--Either the show chairs or the database managers must add new members of their organization & provide logins.

 --Submit wins in the database on time & within the 10 days designated in the Constitution / By Laws.  Final deadlines are communicated on this website's SHOW SCHEDULE page and need to be followed for those late spring shows.  Wins not reflected by the deadline will NOT be eligible for convention.
--Add all new members to the database; EVERY member of your league --student or adult-- whether they participate in shows or not--- should be in the database.  Change the status of any who are no longer members to NONE; it is critical that you do NOT ever delete them.  If you see any duplicates of the same artist, please contact the 2nd VP of Shows/ Database found on the Connect to LSAG Leadership page. 
If a member is deceased, contact the LSAG VP of Shows/ Database.

--Manage questions, updates, & logins for your league's membership.  If you are not able to answer a question or an issue arises outside of your area, contact the 2nd VP for Shows / Database as listed on the Connect to LSAG Leadership page. 

--Do not add or represent in the database any award for a piece that is not eligible for entry according to LSAG rules  (ie-pieces that are the result of a collaboration or the work of more than one artist, any & all nudes partial or full / front or back, etc.; see LSAG Prospectus for descriptions).

LSAG Representatives
--Attend 2 open LSAG meetings & take notes.  Vote as needed.
--Communicate LSAG news to your league accurately at your league meetings or via emails. 
--Communicate to your fellow league members at each meeting and encourage them to get the monthly newsletter and visit the blog (the archived newsletter) for information about events & announcements from LSAG-- particularly at convention time.  Also direct them to the website including pages to make adjustments to their subscription to the newsletter (ie- changing their email address or unsubscribing) and a large amount of other details about their membership in LSAG.  These are our main ways of communicating.  When your members are not getting the information from the organization of which they are a member, you will have more questions and more maintenance of issues.​  This is the responsibility of both the President & LSAG Reps.

--Vote in LSAG elections and other major votes.
